How an Equipco fuel management system pays for itself

Most operators we work with see their FMS pay back the investment in 6 to 18 months, just from stopping the "shrinkage" that quietly bleeds bulk-fuel sites every week. Once it's in, the secondary wins compound: cleaner fuel tax credit claims, true per-vehicle running-cost data, and the end of paper logbooks at the pump.

Fuel theft & pilferage stops on day one

Every dispense requires an authorised RFID tag (GIR) or PIN (Tecalemit). Lost tags can be deactivated remotely in seconds. After-hours leakage — the kind that doesn't show on a security camera — is simply impossible because the pump won't turn on without authorisation.

Fuel tax credit (FTC) substantiation

The ATO accepts 20.2 cents per litre in fuel tax credits for off-road diesel use (mining, agriculture, civil — rates as at 2024). An FMS gives you per-litre records tagged to each vehicle and use type. When your accountant claims FTCs, the data is already in a CSV ready to attach.

Per-vehicle fleet KPIs

Once every dispense is tagged to a vehicle ID, you can run litres-per-kilometre by truck, week-over-week. Outliers stand out immediately — often the first sign of a mechanical issue, a heavy-footed driver, or a fault in the vehicle. Fleet managers use this for routing decisions, replacement cycles and driver coaching.

Choosing the right system

  • GIR Elite / Global: Ethernet-connected sites with 20+ users, multi-pump depots, mining and large transport operations.
  • Tecalemit ProFMS: Single-pump sites without IT infrastructure, sub-50-user fleets, civil and council operations.
  • Packaged pump systems: Existing tank with no FMS today — bolt-on dispensing for less complex needs.

Installation & commissioning

Equipco supplies the hardware. We can specify the full assembly to match your tank, pump duty, hose length and site power, and we can refer you to an installation partner in your region for the wet works and electrical hook-up. For Ethernet-connected GIR systems we'll help your IT team configure the network drop.

Frequently asked questions

RFID uses a physical tag or fob the operator presents to the dispenser — fast, no typing, no shared codes. PIN uses a numeric code the operator keys in — cheaper to deploy, no tags to lose, but codes can be shared between operators. RFID is better for accuracy; PIN is better for sites without infrastructure.
Yes — the GIR Terminal cabinet (GIR-1PTRECO) is specifically designed to bolt onto an existing pump and add RFID control + 20 starter tags. Tecalemit ProFMS bowsers are standalone units you'd install alongside your tank.
GIR Elite and Global use Ethernet for the live dashboard, but you can run the system offline and pull data manually if you don't have a network drop at the tank. For remote sites a 4G router or point-to-point Wi-Fi bridge from the office solves it.
GIR ships with 20 RFID tags standard and scales to 100+ users. Tecalemit ProFMS supports up to 250 PIN codes. For most fleets that's well beyond what you'll ever need.
Yes. Both systems export per-litre, per-vehicle, time-stamped transaction logs to CSV or Excel — exactly what your accountant needs for FTC substantiation. The data is ATO-grade because it's auto-captured at the point of dispense (not transcribed by hand).
Most GIR and Tecalemit units are held in stock in our Melbourne warehouse. Standard configurations ship the same business day if ordered before 1pm AEST. Custom multi-pump GIR Global builds typically take 1–3 weeks to assemble and test.
With GIR Elite/Global yes — the browser-based dashboard runs over Ethernet so your fleet manager can pull reports from their desk. Tecalemit ProFMS requires walking to the bowser with a USB stick to download transactions (which is part of why it's lower cost).

* 20.2c/L fuel tax credit rate reflects ATO rates for off-road heavy diesel use as published in 2024. Rates are reviewed twice yearly; check the current rate at ato.gov.au before claiming.
